  • Account Information: Usernames, passwords, and other details required for account setup.
  • Billing Information: Payment details, billing address (processed by our third-party payment processors like Stripe).

  • Log and Usage Data: IP address, browser type and version, operating system, device type, pages visited, time spent on pages, service interactions, and other statistics.
  • Device Information: Information about your computer, phone, tablet, or other devices you use to access the Services.

c. Data Processed Through Integrations (as a Data Processor)

When providing Services to our clients (who are Data Controllers), we act as a Data Processor. We may process personal data provided by our clients or collected through their integrations with our Services and third-party platforms. This can include:

  • Client's Customer Data: Contact information of our clients' customers (e.g., names, phone numbers, email addresses).
  • AI Interaction Data:
    • Call recordings and transcripts from AI voice agent interactions (primarily stored via Retell AI (retellai.com) for a maximum of 6 months from the date of interaction, then subject to deletion as per client agreement or legal requirements).
    • Chatbot message logs and interaction data (stored via Botpress or similar providers for a maximum of 6 months from the date of interaction, then subject to deletion as per client agreement or legal requirements).
    • Data related to appointment bookings, lead qualification, and feedback requests.

This data is processed strictly on behalf of and under the instruction of our clients for the purpose of delivering our Services to them. We do not use this specific AI interaction data to improve our general AI models for other clients.

How We Use Your Information

We use the information we collect or receive:

  • To provide, operate, maintain, and improve our Services.
  • To set up and manage your account.
  • To personalize and customize our Services to your business needs.
  • To process payments and manage subscriptions.
  • To respond to your comments, questions, and requests, and provide customer service and technical support.
  • To communicate with you about services, features, surveys, newsletters, offers, promotions, contests, and events, and provide other news or information about us and our select partners (with your consent, where required, and with clear opt-out options).
  • To monitor and analyze trends, usage, and activities in connection with our Services.
  • To detect, investigate, and prevent fraudulent transactions, unauthorized access to our Services, and other illegal activities.
  • To comply with legal and regulatory obligations.

These include platforms such as Retell AI (retellai.com), VAPI, GoHighLevel, Zapier, Make, Botpress (or similar chatbot platforms), and payment processors like Stripe. We ensure these providers adhere to strict data protection and confidentiality terms. A list of major sub-processors may be available upon request or as part of a Data Processing Agreement.
  • To Comply with Laws: We may disclose your information if required to do so by law or in the good faith belief that such action is necessary to (i) comply with a legal obligation, (ii) protect and defend our rights or property, (iii) prevent or investigate possible wrongdoing in connection with the Services, (iv) protect the personal safety of users of the Services or the public, or (v) protect against legal liability.
  • Business Transfers: In the event of a merger, acquisition, financing, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, your information may be sold or transferred as part of such a transaction as permitted by law and/or contract.
  • With Your Consent: We may share your information with your consent or at your direction.

For data processed on behalf of our clients (where we are a Data Processor), such as AI interaction data (call recordings, chatbot logs), we retain this data in accordance with our agreement with the client and our sub-processor's policies. Call recordings on Retell AI (retellai.com) and chatbot logs on Botpress (or similar) are typically retained for up to 6 months from the date of interaction. Upon termination of services with a client, we will delete or return client-controlled data as instructed by the client, as outlined in our Data Processing Agreement (DPA) (generally within 14-30 days of service termination), or as legally required.

International Data Transfers

Your information, including personal data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction where the data protection laws may differ from those in your jurisdiction. As a UK-based company, if we transfer your personal data outside the UK or European Economic Area (EEA), for instance to service providers located in the USA (such as Retell AI (retellai.com) or GoHighLevel), we will take appropriate safeguards to ensure that your personal data remains protected in accordance with this Privacy Policy and applicable data protection laws. This includes relying on mechanisms such as the UK's International Data Transfer Agreement (IDTA) or Standard Contractual Clauses (SCCs) with relevant UK Addenda, or ensuring the recipient is in a country deemed to provide an adequate level of data protection.

Message frequency may vary. Standard message and data rates from your mobile carrier may apply. When our Services are used by our clients to send SMS messages to their customers (e.g., for feedback requests, AI-driven communications, appointment reminders), Ambitions AI acts as a Data Processor. In such cases, our clients (the Data Controllers) are responsible for obtaining and managing the necessary consents from their customers in accordance with applicable laws (including GDPR and PECR).

We do not sell or share your phone number provided directly to us with unaffiliated third parties for their own marketing purposes without your explicit consent.

Children's Privacy

Our Services are not directed to, and we do not knowingly collect personal information from, individuals under the age of 18. If we become aware that an individual under 18 has provided us with personal information without verifiable parental consent, we will take steps to delete such information.
